The Leave of Absence Case Manager is an individual contributor position responsible for supporting associates through the absence management process in conjunction with TPA including ADA tracking and management. They provide guidance to managers and employees on absence requests and ensure compliance with applicable laws and regulations. Additionally, they may coordinate with HR, payroll and other departments to streamline processes while adhering to company policy.
Responsibilities
- Administer specific claims as determined by management
- Maintain focus on claim administration and proper claim handling by TPA
- Monitor vendor performance and oversee claim administration and payment by TPA
- Handle all Brand escalations and Associate Relations issues that arise out of leave of absence management
- Perform statistical analysis on claim trends to meet organizational goals
- Respond to and prepare legal documents as required
- Track, document and communicate accommodation requests to HR Business Partners and management. Document activity and response according to applicable process.
- Oversee all federal/state/local leave regulations and ensure TPA adherence to policy and regulation on all cases.
- Operate as a support function to HR Business Partners and associate’s manager.
- Serve as a liaison between associate and third- party administrator and communicate to associate/managers as appropriate.
- Display flexibility and agility to learn other responsibilities as business needs evolve.
- 3-4 years previous benefits administration experience.
- Previous leave and FMLA administration strongly preferred.
- Excellent interpersonal skills, with the ability to listen well, demonstrate sensitivity and empathy to all parties and develop rapport and partnership with associates and leaders.
- Strong written and verbal communication skills.
- Strict attention to detail and the ability to maintain confidentiality.
- Must be able to adapt to a quickly changing environment.
- Strong customer service skills.
- Ability to work in a team environment to achieve goals
- Proficiency with Excel preferred
- Service Now experience is a plus
